The Secretary is also responsible for maintaining Board records and documentation.<\/p>\n<h2>Duties:<\/h2>\n<ol>\n<li>Attend Docent Society and Docent Executive Board (DEB) meetings.<\/li>\n<li>Record, obtain approval, distribute as appropriate and maintain minutes of the meetings.<\/li>\n<li>Maintain a notebook of the agenda, approved minutes and any other handouts distributed at meetings.<\/li>\n<li>At the end of the calendar year give binder to the Volunteer Coordinator to be archived.<\/li>\n<\/ol>\n<h2>Specific Skills:<\/h2>\n<ol>\n<li>Strong organizational skills<\/li>\n<li>Time and ability to meet deadlines and produce notes and minutes in a timely manner for distribution<\/li>\n<li>Strong note taking and computer skills.<\/li>\n<\/ol>\n<p>&nbsp;<\/p>\n<h2>Time Required:<\/h2>\n<p>7 hours per month<\/p>\n<p><strong>Elected bi-annually<\/strong><\/p>\n<table style=\"width: 808.6px;\">\n<tbody>\n<tr>\n<td style=\"width: 236px;\"><strong>MEETING \/ ACTIVITY<\/strong><\/td>\n<td style=\"width: 116px;\"><strong>DAY OF MONTH<\/strong><\/td>\n<td style=\"width: 392.6px;\"><strong>RESPONSIBILITIES<\/strong><\/td>\n<\/tr>\n<tr>\n<td style=\"width: 236px;\">Docent\/Volunteer General Meeting<\/p>\n<p>(9:30 a.m.)<\/td>\n<td style=\"width: 116px;\">1<sup>ST<\/sup> Wednesday<\/td>\n<td style=\"width: 392.6px;\">1.\u00a0\u00a0\u00a0\u00a0 Record activities of the current meeting.<\/p>\n<p>2.\u00a0\u00a0\u00a0\u00a0 Request approval of the minutes of the previous meeting. Make corrections or additions to minutes of the previous meeting as needed.<\/p>\n<p>3.\u00a0\u00a0\u00a0\u00a0 File in a notebook the agenda and approved minutes of each General Meeting and any other handouts distributed at that time.<\/p>\n<p>4.\u00a0\u00a0\u00a0\u00a0 Compose formal minutes of the meeting.<\/p>\n<p>5.\u00a0\u00a0\u00a0\u00a0 Send minutes for review to Docent Chair within one week of the meeting. Make any changes required.<\/p>\n<p>6.\u00a0\u00a0\u00a0\u00a0 Once Docent Chair has approved the revised minutes, promptly send them minutes to the webmaster for posting to the Docent Website.<\/p>\n<p>7.\u00a0\u00a0\u00a0\u00a0 At the same time, send minutes to the Docent\/Volunteer listserv.<\/p>\n<p>8.\u00a0\u00a0\u00a0\u00a0 If additional changes are received, describe the corrections\/additions at the next General Meeting before requesting approval of the minutes.\u00a0 After the meeting, send a revised copy to the webmaster for posting to the Docent Website.<\/td>\n<\/tr>\n<tr>\n<td style=\"width: 236px;\">Docent Executive Board Meeting<\/p>\n<p>(10:00 a.m.-noon)<\/td>\n<td style=\"width: 116px;\">3<sup>rd<\/sup> Wednesday<\/td>\n<td style=\"width: 392.6px;\">1.\u00a0\u00a0\u00a0\u00a0 Record activities of the current meeting.<\/p>\n<p>2.\u00a0\u00a0\u00a0\u00a0 Request approval of the minutes of the previous meeting.
