General Description:
The Docent Coordinator determines if Docents that have not submitted the required hours should have their status changed. The Docent Coordinator also works with the Telephone & Info Directory Coordinator to update Directory.
Duties:
- A document is kept by the Docent Coordinator which identifies when docents were changed to Associate status and the reason for the change. If a docent has been an Associate for three years, remove the docent from the Docent/Volunteer Information Directory.
Exception: Docents that become employees are set to Associate Status. Do not remove them from the Directory. If the docent/employee terminates employment at Quail Botanical Gardens, the person may return to full docent status or remain an Associate for three years. - Near the end of the calendar year, the Docent Coordinator contacts docents that have not been active during the year (based on hours submitted and docent meeting attendance). The Docent Coordinator determines the reason for inactivity and does the following:
- encourages the docent to return to the Gardens, or
- suggest the docent change to “associate” status for up to three years, or
- remove the docent from the Directory.
Based on this information, the Docent Coordinator:
- Prepares the docent meeting sign-in sheets for the upcoming year
- Works with the Telephone & Info Directory Coordinator to update the Directory for the upcoming year
- Attend Docent Executive Board meetings, held on the 3rd Wednesday of the month, usually from 10 a.m. – noon.
Note: Before removing docents from the directory, it is a good idea to present the changes to the Docent Executive Board.
Specific Skills:
- Computer skills are necessary.
- Since this job requires contacting Associate Docents, it is helpful if the Coordinator has been a Docent for a few years and knows some history of the Docents.
Time Required:
40 – 50 hours between September and December.
Recommended Term:
1 – 2 years.
