Nominating Committee

General Description:

The Nominating Committee recruits Docent Society Officers and Coordinators for the next calendar year.  Per the Docent Society Operating Regulations, the Nominating Committee, consisting of three Docents, is appointed by Docent Chairperson at the September docent meeting.
Note 1:   If there is any turnover of Officers, it is recommended that the Committee be formed in June.
Note 2: If only Coordinators are to be recruited, it is recommended that the Committee be formed in August.
Note 3:  It is recommended that the Nominating Committee consist of at least one Docent that has served on the Docent Executive Board.  It is also helpful if a previous Officer serves on the Committee.

Duties:

  1. At the first Nominating Committee meeting, a Committee Chairperson should be agreed upon.  The Chairperson is responsible for coordinating all activities, listed in this job description.
  2. Coordinators that do not want to continue their job need to advise the Nominating Committee of their intention.  Ask the Docent Chairperson to include a request in the monthly Docent/Volunteer meeting email for Coordinators to advise the Nominating Committee if they want to end their job.
  3. A Nominating Committee member should get on the Docent/Volunteer meeting agenda, to describe open positions and ask for volunteers.
  4. Send potential Officers and Coordinators a Job Description.
  5. It is helpful to keep a spreadsheet of ‘open’ and ‘filled’ positions, so the current Docent Society Officers can easily be updated.
  6. New Officers are elected at the November Docent/Volunteer meeting.  Ask the Docent Chairperson to put this item on the Agenda, and arrange for a person to hold the election.  Note:  Only Active Docents may vote.  The new Officers assume their duties in January.
  7. An ‘Installation of Officers’ ceremony should be performed at the December Docent/Voluntary meeting, although this is not required by the Docent Operating Regulations.   Please see the following “Installation of Officer” form.

Specific Skills:

  1. Knowledge of Docent Officer and Coordinator positions.
  2. Familiarity with current docents.
  3. Clout!

Time Required:

Approximately 40 hours for Nominating Committee Chairperson.
Approximately 20 hours for the other two Nominating Committee members.

Recommended Term:

One year.
