Treasurer

General Description:

The Treasurer is responsible for managing the funds for the Docents/ Volunteers Society.

Duties:

  1. Attend monthly Docent/ Volunteer meetings.
  • Report to the Society the year beginning cash balance, raffle monies collected, refreshment monies, funded projects and the most recent cash balance.
  • Receive raffle monies from the raffle ticket table.
  • Reimburse office for any expenses incurred for raffle table items.
  • Collect contributions towards refreshments for the meetings.
  • Communicate to refreshments coordinator current expense cap.
  • Reimburse refreshments coordinator for expenses.

 

  1. Attend monthly Docent Executive Board (DEB) meeting.
    • Prior to meeting, update spreadsheet used to track income/ expenses for the year.
    • Make copies to provide at the meeting to Chair and Secretary.
    • Report on current status of funds.

 

  1. Maintain current reporting and status of Docent/ Volunteer Society funds.
    • This includes cumulative spreadsheet as well as the one page summary report which is distributed.
    • Keep track of any monies that are put into the office safe for safekeeping. It is better to keep less in personal possession.
    • Keep in notebook project receipts and monthly reports.

Specific Skills:

 

  1. Abe to keep accurate accounting of monies.
  2. Committed to staying current.
  3. Able to keep monies secured.
  4. Able to use computer software such as MS Word and MS Excel.
  5. Able to attend most meetings.
  6. Able to speak in front of the Society.
  7. Able to spend two hours a month on these duties.

Time Required:

10-20 hours per week, additional time if the manager also staffs the Shop.
