Volunteer Coordinator

General Description:

The Volunteer Coordinator recruits (non-docent) volunteers to SDBG, orients them to the various work areas in the gardens, and maintains a record of their volunteer activity in the Gardens.  The Volunteer Coordinator works closely with the Director of Operations.

Duties:

  1. Organize and lead volunteer orientations, usually twice a year.  Working with the Director of Operations, print and distribute flyers, arrange for newspaper publicity, coordinate speakers, etc.
  2. Maintain a current list (Excel spreadsheet) of volunteers with their address, phone number and other pertinent information about their volunteer areas of interest.  This information is obtained from the “Volunteer Application” which is on file in the SDBG office.
  3. Gather and replenish Volunteer Hours forms monthly.  There are located in several places throughout the Gardens, including the Admissions Kiosk, Gift Shop, Larabee House office, propagation nursery, and the Ecke Building office.
  4. Record hours of each volunteer on an Excel spreadsheet, monthly.
  5. Attend Docent Board meetings, as needed.
  6. Participate in the annual Volunteer Recognition dinner.  (Volunteers who worked over 40 hours in the previous year are usually invited.)
  7. Volunteers are listed in the “Docent / Volunteer Telephone & Information Directory”.  Near the end of the calendar year (usually November) recommend to the Telephone & Info Directory Coordinator which volunteers should be added or removed from the directory.  Proof the changes prior to publication of the directory in late December.
  8. Keep a file of procedures and activities to pass along to the next Volunteer Coordinator.

Specific Skills:

  1. Ability to effectively communicate with a variety of people
  2. Have a broad understanding of volunteer opportunities at SDBG
  3. Knowledge of computers and the use of spreadsheets a must

Time Required:

Varies between 10 – 20 hours monthly.

Recommended Term:

Two years, more if desired.
